Begin with the everyday problem
Describe what is difficult now: keeping up with a border, using a cramped corner or making the garden easier to care for. Note who uses the space and what you want to keep.
Record the practical details
Estimate the area, access width and any steps or slopes. Take photos for a later discussion, but keep sensitive details out of anything shared publicly.
Set priorities before promises
Separate essentials from nice-to-haves. Give an indicative budget and timing if you have them. Every project needs its own scope, location check and written agreement before work is arranged.
